EV Fest 2015 On Site Volunteers
For the Day of EV Fest 2015, We would like to offer 3 positions of leadership for the Event Day: Morning Lead,
Afternoon Lead, and Volunteer Chief to manage Volunteers for the Day.
On site Volunteer
Shifts:
Special Assignments for EV Fest 2015 will include Morning Marshalling to bring in
Exhibitors in safely, as space at the Arena Entrance may be tight and maneuvering limited; Parking Guidance to
Arriving Guests; Guest Entrance and Ticketing, Directions into the Arena Show Floor, Assistance with Online Ticket
Registration via Smart Phones, Tablets, Notebook PC's, etc.
During the Show day; Directing Guests, Volunteers, and Exhibitors to local or onsite services and Businesses for
Food, Snacks, or Meals; Directing Volunteer Photographers to areas of Action, Crowds, or other active Excitement

These are the basic Volunteer Shifts, which are to be supported by The Morning Lead, Afternoon Lead, and
Volunteer Chief. Please contact us at evfest@evfest.ca or

The On site Volunteer Shifts on the day of the Event - June 14, 2015, are in 4 basic shifts of 4.0 hours
each, with 60 minutes to overlap between the following shifts coming in and the preceding shift leaving, except the
first shift only overlaps at the end, and the last shift only overlaps at the beginning*.
Please Note: Venue Facilities May be also
available for an Exhibitor and Volunteer Lunch/Snack Space/Room!
*If you
volunteer, please be aware - that Fluent English is expected, and additional languages are
appreciated. Details, and requirements for specific positions may change from time to time, so please review this
page regularly.
Shift 1 runs from 06:30 A.M. until 10:30 AM. You will be helping
Exhibitors get loaded in, set up Guest Registration and Test Drive Area Tables, and other tasks. You will be
expected to have read and understood the Current Exhibitor Load in Floor Plan, and verified your understanding with
the Developer.
Shift 2 runs from 09:30 A.M. until 1:30 PM. You will be helping
finalize any exhibitors load in, and the last minute touches on Guest Registration Setup, followed by working Guest
Check-in, and general assistance, directions to washrooms, Test Drives, Local Food Services, etc.
Shift 3 runs from 12:30 P.M. until 4:30 PM. You will be helping with
Guest Check-in, answering general Event and Location Questions, offering assistance with perimeter control and
monitoring
Shift 4 runs from 3:30 P.M. until 7:30 PM. Max. You will be involved
with General Event and Security assistance as perimeter Monitoring, Guest Check in until Close of Event at 5:00
P.M., and assisting with Orderly and Safe Exhibitor Exit, beginning at 5:15 PM (allowing
for Guests to exit the Arena Show Floor before Exhibitor Vehicles Start Moving.)
The Morning Lead runs from 06:00 A.M. until 1:30 PM. Morning Lead
Position: Starts at 06:00, Prepares Shift 1 Volunteer Assignments, Assigns certain Volunteers to assist certain
Exhibitors with preparation to Load In, and get set up, Helps Shift 2 Volunteers get their Guest Registration
Setup, and ready to roll, makes sure guest registrations are proceeding smoothly - both for Cash Sales, and prepaid
Ticket Check In.
You will be eligible for a Meal Credit or Bag Lunch as available, or have access to our Exhibitor and Volunteer
Food Table.
(7.5 hours. Food to Be Provided For.)
The Afternoon Lead runs from 12:00 P.M. until 7:30 P.M. Afternoon Lead
Position: Starts at 12:00 PM - Coordinates with Morning Lead, and makes sure that Shift 3 and Shift 4 Volunteers
get their tasks assigned and checked in. Works with the Registration Close Process to help close up sales, and get
Exhibitor Exits running smoothly. You will be eligible for a Meal Credit or Bag Lunch as available, or have access
to our Exhibitor and Volunteer Food Table. (7.5 hours. Food to Be Provided For.)
Volunteer Chief, is a Full Day position, to make sure the leads and Volunteers have what they
need to do their jobs, assists them to get on track, and help out directly if needed.
Volunteer Chief Position: Starts at 06:00 - manages the Morning and Afternoon Leads, Assisting with organizing
Volunteer Assignments were needed, communicates with Show Developer and Lead Volunteers, assists Security, and
Leads, helps out General Volunteers and Leads as required, and helps Exhibitors with any requests from the EV fest
program, keeps Volunteers on track and focused during their shifts, and makes sure Ticket Sales close on time and
helps the flow of Exhibitor Exits, Sign Removal and Garbage handling may also be required. This shift Finishes at
7:30 PM, and you will be eligible for two Meal Credits or Bag Lunches, or have access to the Exhibitor / Volunteer
Food Table.
You are invited to an After Show Dinner with the Developer.
Volunteer Chief runs from 06:00 A.M. until Max 7:30 P.M. (13.5
hours Max. Meals will be provided for.)
Other Volunteer Options include - Goodwill Ambassadors, General
Help [Morning or Afternoon], Photographers / Videographers, and Test Drive
Assistants.
Goodwill Ambassadors - General Assistance: From 9:30 AM - May be assigned tasks varying
from helping Ride & Drive Events, Greeting people with a smile when coming to register and directing them to
the Check In Table(s), helping them with Ride & Drive activities, Handing out Promotion Post Cards in the
parking lots nearby during EV Fest 2015 inviting people to come on over. Goodwill Ambassadors Volunteering for over
5 hours will be eligible for a Meal Credit or Bag Lunch, or have access to our Exhibitor / Volunteer Food
Table.
This position will need people active in this role up until at least 4:30 PM.
General Help, Morning: 7:30 A.M. - 11:30 A.M. - as required: move and set up tables,
set up banners, assist exhibitors as needed, assist with Load in as required, Set up Guest Check in Tables, and or
Tents if required, direct people to various Activities at EV Fest and Facilities in the area (need to be know and
be aware of Facilities near the Arena), assist any other volunteer needing help. Attending the Arena Before EV Fest
at least once to Familiarize yourself with the local will be required.
This Position runs from 7:30 AM until 11:30 AM.
General Help, Afternoon: 3:00 P.M. - 6:30 P.M - as required: General Guest help and
directions to Check In Tables, Test Ride & Drive Area, General Facilities Knowledge and ability to direct
Guests on site, and around the Area, Assist with end of day close up at Guest Check In - with Tent and or Table
Removals and handling, assisting Exhibitors with Close up, and strike as required, clearing exit points for
exhibitors to leave and safety control of vehicle movements leaving.
This runs from 2:30 PM until 6:30 PM.
Volunteer Photographers / Videographers*:
Coverage desired from 6:00 AM - 7:00 PM.
Photographers/Publishers - interested in Photographing Behind the Scenes, General
Environment and Surroundings, Crowd and Lineup scenes, Exhibitor Vehicles on Arrival before Show Opens and with
Guest Crowds by them; Elevated Shots (From Upstairs in the Arena, and/or from Ladders or Bleachers); Low Angle
Shots from the Floor and under 3 Feet above Floor; Panoramic/Wide Angle, Flash, and Natural Light aspect to be
used; Teams with Assistants suggested.
Returning for 2015: EV Fest Will Supply you the Camera Media Card, as defined by you when registering, Which
will be Dropped off with the Show Organizer Before Leaving the EV Fest Site, You Will be sent a copy of the
Original Images for your file within 10 days).
Full Day Photographers on site for over 5 hours will be eligible for a Meal Credit or Bag Lunch, or have access
to the Exhibitor / Volunteer Food Table.
Coverage Times needed: From 6:00 AM to 8:00 PM.
This May Be coordinated and shared by us so that no one is needed onsite for a full day, but anyone able and
willing to do so will be appreciated if they do!
Publishers - who can design and Publish a Photographic Spread in their Media, as part of a Report on EV
Fest 2015. Coordinate with us.
Videographers/Video Editors - Videographers - interested in Videoing Behind the Scenes, General
Environment and Surroundings, Crowd and Lineup scenes, Exhibitor Vehicles before Show Opening and with Guest Crowds
by them; Time Lapse Segments of Loading in and of Guest Ticketing & Entry, High Speed, Spot and Natural Light
aspects to be considered; as well as Traffic Arriving at EV Fest, Long Shots of Facilities from outside the
Building, and crowd shots at exhibits, Test Drive Area, and Entrance.
Returning for 2015: EV Fest Will Supply you the Camera Media Card, as defined by you when registering, Which
will be Dropped off with the Show Organizer Before Leaving the EV Fest Site, You Will be sent a copy of the
Original Images/Video for your file within 10 days.
Video Editors will be producing a Simple 30 Second and a 1 Minute Piece from the material Gathered by the
Videographers, and from Still Images provided by Photographers at the event. Other Details to be discussed. Contact
us to review. Teams with Assistants suggested.
Videographers/Editors on site for over 5 hours will be eligible for a Meal Credit or Bag Lunch, or have access
to the Exhibitor / Volunteer Food Table. Coverage Times needed From 6:00 AM to 8:00 PM.
For Photographers and Videographers: SD Memory Card:

you the Camera Media Card, as defined by you when registering, Which will be Dropped off with the Show Lead
Developer Before Leaving the EV Fest Site, You Will be sent a copy of the Original Images for your file within 5-10

EV Test Drives Assistant - Potential Exists that there will be Electric Vehicle Test Drives and
Test Rides for EV Fest 2015. These are operated by Dealers, OEM's or Private Individuals. This will be in the
Parking Lot at the Arena, and will run from ~09:45 AM to ~5:15 PM. We Will have a Tent and a Table with Two Chairs
to operate From. Duties Include: Verifying Guests are Registered EV Fest Guests or Exhibitors, or registering them
as guests; Sequencing them in order to Test Drives; and managing any Participants Waivers if required. Registration
Ends on June 1st., 2015.
